Terms of Service
1. Introduction
Welcome to FlowMail Studio, a professional email management platform. By using our service, you agree to the following terms and conditions.
2. Description of the Service
FlowMail Studio enables users to send professional HTML emails, manage contacts, create email templates, attach files from cloud storage (Google Drive, OneDrive, Dropbox), read data from Google Sheets, and access basic email analytics. Optional features may include GTM Studio capabilities inside Contacts to enrich and monitor professional data for contacts already in your account (see GTM Studio — Contact enrichment). The service integrates with email providers (Gmail, Outlook) and cloud storage services. We reserve the right to modify or discontinue the service at any time, without notice.
3. Your Use of the Service
You agree to use our service for lawful purposes only, including compliance with applicable anti-spam and privacy regulations (e.g., CAN-SPAM, GDPR where applicable). You may not use our service in any way that violates laws or infringes on the rights of others.
4. Intellectual Property
FlowMail Studio and its content, including but not limited to text, graphics, logos, images, and software, are the property of CB Group Services or its licensors and are protected by copyright and other intellectual property laws. You may not reproduce, modify, distribute, or otherwise use any content from our service without prior written consent.
5. User Content
When composing or sending emails, importing contacts, or using templates, you may provide content such as text, email addresses, and attachments. Such content remains under your ownership and control in your accounts (e.g., in Gmail, Outlook, Google Drive, OneDrive, Dropbox). Where the service temporarily processes your content to perform requested actions, processing is limited to fulfilling the feature you invoke.
6. Disclaimer of Warranties
The service is provided "as is" and without warranties of any kind, either express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be error-free or uninterrupted.
7. Limitation of Liability
To the fullest extent permitted by law, we shall not be liable for any indirect, incidental, special, or consequential damages arising out of or in connection with your use of the service, even if we have been advised of the possibility of such damages. Our total liability for any and all claims arising out of or in connection with your use of the service shall not exceed the amount paid by you, if any, for accessing the service.
8. Governing Law and Jurisdiction
These terms of service shall be governed by and construed in accordance with the laws of Luxembourg. Any dispute arising out of or in connection with these terms of service shall be resolved exclusively in the courts of Luxembourg.
GTM Studio — Contact enrichment and signals
These provisions supplement the Terms of Service when you use optional contact enrichment or signal features in Contacts (for example professional updates, employer changes, or related company information).
1. Scope
Certain subscription tiers or features may include GTM Studio (or similarly named) capabilities integrated into Contacts. These features help you update, enrich, and monitor signals (such as professional profile information, employer or role changes, and related company information) for contacts already present in your account.
2. No new contacts supplied by us
FlowMail Studio does not sell or deliver third-party marketing lists. Enrichment applies to your contacts that you have added or imported. You remain responsible for ensuring you have a lawful basis to process those contacts' data under applicable law.
3. Subprocessors and third-party data
Enrichment and signal features may rely on third-party data and automation providers (for example enrichment platforms and data vendors). Their use is subject to their terms and technical constraints. Categories of subprocessors are described in the Privacy Policy — Contact enrichment section.
4. Accuracy and estimates
Enriched fields (including company size, revenue ranges, job counts, social metrics, and news summaries) may be estimates, aggregated, or sourced from third parties. They are provided for informational purposes to support your workflows. You should verify critical facts before relying on them in decisions with legal or financial consequences.
5. Identity matching and LinkedIn URLs
Providing a professional profile URL (for example a LinkedIn profile link) manually may improve match quality but is not always required when the service can assign a value with sufficient confidence. Where the service cannot uniquely identify a person from the information you provide, it may suggest candidate profile links for you to confirm or reject. You are responsible for confirming that the selected profile corresponds to the intended contact.
6. Research and synthesis tools
Where the service offers research or AI-assisted summaries over URLs or queries you supply, such processing is triggered by you and results are saved only when you choose to store them on the contact record, unless otherwise clearly stated in the UI.
7. Alerts
In-app notifications may inform you of certain changes (for example job changes) according to product settings. Alert channels and frequency may evolve with the product.
8. Usage limits
Enrichment and signals may be subject to fair use, quotas, or subscription limits described at checkout or in your account. We may suspend or throttle usage that risks abuse or jeopardizes platform stability.
9. Disclaimer
Sections 6 (Disclaimer of Warranties) and 7 (Limitation of Liability) of these Terms of Service apply fully to GTM Studio features. Third-party data is provided "as is" to the maximum extent permitted by law.
Privacy Policy
1. Introduction
We respect your privacy and are committed to protecting your personal data. This privacy policy explains how we collect, use, and disclose your personal data when you use FlowMail Studio.
2. Information We Collect
When you use the service, we may process:
- Personal data you provide, such as name and email address (e.g., when managing license/subscription, drafting or sending emails).
- Content you select to process, such as email bodies, subject lines, recipients, and file attachments from cloud storage services.
- Contact data in your account that you explicitly use to generate messages or manage contacts.
- Usage data (e.g., features used) and technical logs for diagnostics.
3. How We Use Your Information
We use information strictly to provide and improve the service's functionality, including:
- Drafting and sending emails via Gmail or Outlook on your behalf.
- Listing and attaching files from cloud storage services as you request.
- Reading and writing data necessary to manage contacts, templates, and email operations.
- Displaying UI components for configuration and workflows.
- License/subscription validation with our license service and payment processor.
We may share limited data with trusted service providers to operate the service (e.g., license validation and payments), and with law enforcement or regulators if required by law. We do not sell or rent your personal data.
4. Marketing Communications
FlowMail Studio, partners within our group, or authorized partners may send you promotional emails from time to time. These communications will be sent in a responsible and non-spamming manner, respecting your preferences and applicable anti-spam regulations. You can opt-out of marketing communications at any time by following the unsubscribe instructions included in each email or by contacting us at support@flowmail.studio. Please note that even if you opt-out of marketing communications, we may still send you important service-related messages (e.g., account updates, security notifications, subscription renewals).
5. Data Storage and Retention
Content such as emails, drafts, attachments, and contact lists remains in your accounts (Gmail, Outlook, cloud storage services). The service may store minimal configuration data in your account (e.g., preferences, folder IDs). License/subscription status may be validated via our secure backend. We retain diagnostic logs for a limited period as necessary for operation and compliance, and we strive to minimize any personal data in logs.
6. Security
We use reasonable measures to protect your data from unauthorized access, use, or disclosure. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
7. International Transfers
Your personal data may be processed and stored in countries outside of your own. These countries may have different data protection laws. By using the service, you consent to these transfers as necessary to provide the service.
8. Changes to this Privacy Policy
We may update this privacy policy from time to time. Material changes will be communicated by updating this document and/or through appropriate notices.
9. Google API Services User Data Policy (Gmail Limited Use)
FlowMail Studio's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Gmail data is used only to draft and send emails, manage drafts, read limited metadata where necessary for features you invoke, and is not used for serving ads. We do not retain Gmail message bodies or attachments on our servers beyond what is necessary to complete the requested operation.
10. Microsoft API Services User Data Policy
FlowMail Studio's use of information received from Microsoft APIs adheres to Microsoft's API Services User Data Policy. Outlook data is used only to draft and send emails, manage drafts, and read limited metadata where necessary for features you invoke. We do not retain Outlook message bodies or attachments on our servers beyond what is necessary to complete the requested operation.
11. Payments and Subscriptions
If you purchase a subscription, payment processing may be handled by third-party processors (e.g., Stripe). We may receive and store subscription status and minimal account identifiers (e.g., your email) to validate your license. Payment card details are handled by the payment processor and are not stored by us.
12. Contact enrichment (GTM Studio)
When you use optional contact enrichment or signal features in Contacts, we may process:
- Identifiers and professional details you already store (name, email, employer, company domain, optional profile URLs or social handles).
- Enrichment results returned by providers, with timestamps and source labels where available.
- Optional URLs you submit (for example link-in-bio or personal site pages) and notes or summaries you explicitly save to a contact.
We use this data to display updated information in Contacts, run scheduled or on-demand enrichment jobs, deliver in-app alerts you configure, and operate the service (support, security, abuse prevention).
We rely on infrastructure and enrichment or signal providers as subprocessors; they process data on our instructions. Transfers outside your country may occur as described in International Transfers.
Enrichment results and saved research content are retained with your account until you delete them or delete the contact, subject to backup and legal retention needs. You must have an appropriate legal basis (for example legitimate interest or consent, depending on jurisdiction and your relationship with the contact) to enrich or monitor data about individuals in your lists, and to provide optional URLs or prompts involving third parties.

OAuth Consent Scopes
1. FlowMail Studio Service
OAuth Consent Scopes are permissions granted by users to allow the service to access specific resources and perform actions on their behalf. FlowMail Studio requests the following scopes strictly to power its features:

2. Notes
- Data Location: Core content (emails, drafts, files) stays in your accounts unless you explicitly export or share it.
- Compliance: Use the service responsibly and in compliance with applicable email and privacy laws.
- Scope Limitation: All scopes are requested only to the extent necessary to provide the features you use.
